ISO 45001:2018 is the new international standard that is adopted by most of the world when it comes to Health and Safety. It replaced the OHSAS 18001 system that has been the bedrock of Health and Safety for years.
The ISO system is not a requirement for most businesses. For those businesses that want to work on large contracts or sites of international companies, this may be a requirement. But a warning needs to be placed upfront. It is not cheap to get accredited, this is done by a 3rd party organisation, that has the right to give out accreditations, they are associated with the ISO body.

As part of the Occupational Health and Safety Regulations and your Tender documentation, your business needs to hand a Safety File to your potential client portraying your ability to manage Health and Safety.
However, as a Health and Safety Consulting firm, let me be the one to caution you on the same pitfalls. Getting a cheap Safety file is fine, but what happens when you get the contract? Now you have to do everything all over again at a high cost. It is one thing to have a Safety file; it is a different game to implement the Safety file on site.
I can give you the most glossy, stunning and well-presented Safety file you have ever seen. But if it is not functional on-site, what then? In the middle of the contract, you get audited and put off-site, which is a deadly blow to any company.
My Safety Files are backed up by an Occupational Safety System (also called an Integrated Management System) you can use on-site. It is in line with all the requirements; it has been audited more than 60 times by various players in the market; those include GE, ArcelorMittal, Sasol, Mines, ESKOM and multiple auditors.
The cost to run your Occupational Health and Safety systems within your business as to the OHS regulation will be R 5500.00 (excl. VAT) per month for a 12-month contract; including travelling costs for one audit per month, and excluding travelling costs for extra call-out visits.

Q: I am on site, I need help, what now?
A: All my files are in digital form, you phone me, and I update the file as to your new requirements, and you have it at your fingertips within seconds.
Q: What is the management of change?
A: There is a change in the design, work or clients requirements. You need to change something on the site as to safety; this happens more often than you think. The paperwork is included in the file.
Q: So what happened to the digital copies after the contract is finished?
A: I place all your work on a digital format outside of South Africa to protect it. Some files have to be kept for 30 years; I got this covered. I also keep a DVD digital backup for my clients. This has helped them in the past as they would have some comebacks, and they are blamed, my digital copies helped to clear their name.
Q: What happens when I get stuck and do not understand something?
A: That is very normal, my expertise is vast, and not just in Health and Safety, but in running businesses and strategic thinking. We will come up with a solution; it was done in the past; we will do it again.
Q: Why do you add a daily diary to the site file?
A: It is not part of a safety file, but I add them into the site files. This is the one document that will protect you. Every day the site manager fills it in as to the tasks done for the day, and make sure the client signs them off. In the diary you put things in that may become red flags, as the project may get off track due to things out of control. This may include changes to design, safety issues and delay in receiving the material. It forms part of my project management background and experience.
