The Occupational Health and Safety Act (OHS Act) outlines requirements for safety files. Here are some key points to consider:
1. Site-Specific Health and Safety File: Your safety file should be specific to the site and the task. It’s a legal document, a public record, and auditors appreciate a well-organized index that makes finding documents more accessible.
2. Client Safety Specification: Depending on your business and scope of work, your client may issue a safety specification. This document forms the foundation of your safety file.
3. Scope of Work: Clearly state the exact scope of work, especially for construction sites or specialized tasks.
4. Letter of Good Standing: Maintain a Letter of Good Standing with the Workman’s Compensation Commission. It serves as insurance in case of on-duty injuries.
5. Risk Assessment: Your baseline risk assessment is crucial. Make it easily accessible and communicate it to all employees.
6. Legal Appointments: Ensure legal appointments (e.g., Safety Officer, Risk Assessor) are documented in writing.
7. Registers: Keep an inventory of tools and track hazardous substances on-site.

Q: I am on site; I need help; what now?
A: All my files are digital; you phone me, and I update the file according to your new requirements. You have it at your fingertips within seconds.
Q: What is the management of change?
A: There is a change in the design, work, or client requirements. You need to change something on the site as to safety; this happens more often than you think. The paperwork is included in the file.
Q: What happened to the digital copies after the contract was finished?
A: I store all your work in a digital format outside of South Africa to protect it. Some files have to be kept for 30 years; I have this covered. I also keep a DVD digital backup for my clients. This has helped them in the past, as they would have some comebacks, and they were blamed; my digital copies helped to clear their name.
Q: What happens when I get stuck and do not understand something?
A: That is very normal. My expertise is vast, not just in health and safety but also in running businesses and strategic thinking. We will come up with a solution; it has been done in the past, and we will do it again.
Q: Why do you add a daily diary to the site file?
A: It is not part of a safety file, but I add them to the site files. This is the one document that will protect you. Every day, the site manager fills in the tasks for the day and makes sure the client signs them off. In the diary, you put things that may become red flags, as the project may get off track due to things being out of control. This may include changes to the design, safety issues, and a delay in receiving the material. It forms part of my project management background and experience.
